St John Ambulance provides a range of services to the community
including the coordination of the St John transport service, a
social inclusion and security phone service (Silvercord) and a
hospital visitation service.
THE BRIEF
Each of the St John services is staffed by a combination of
volunteers and St John staff members who need to coordinate the
activities of volunteers with the needs of clients. The brief was
to take the existing disjointed systems and bring them together
into one online database for scheduling these vital services.
THE SOLUTION
Zeroseven analysed the existing separate Access databases and
other process documents used to run each service, interviewed key
operational staff and then designed a single web-based solution to
run all three services.
An important factor in managing community services such as the
St John transport, Silvercord and hospital visitation service, is
the time needed for staff to manage and schedule volunteers for
these services.
With the new database, staff not only save time during the
scheduling process, the management of client and volunteer details
has become easier and vital information can be easily found in the
system, whether it be via the client or volunteer search or
overview screens for each of the three services.

THE RESULTS
Through this new system, St John staff manage 2000 volunteers,
10,000 clients, over 100 trips and 150 telephone schedules a day,
500 hospital schedules, drivers, vehicles, and more, through one
intuitive interface.
There is extensive reporting generation (including HACC
reporting) and a log to track user activity. By providing St John
Qld with a database to match their needs, St John Qld are able to
provide a better service for clients, volunteers and the
community.
Reporting on the services has also been made easier with
detailed information being captured and custom reports generated
for internal use and external reporting.
